Below we inform you about the scope, purpose, and use of the personal data collected during the application process. Scope and Purpose of Data Collection

When you submit an application to us, we process the associated personal data (e.g., contact and communication details, application documents, notes taken during interviews, etc.) insofar as this is necessary to decide on the establishment of an employment relationship. The legal basis for this is Section 26 BDSG-new (initiation of an employment relationship), Art. 6(1)(b) GDPR (general contract initiation), and—where you have given your consent—Art. 6(1)(a) GDPR. You may withdraw your consent at any time with effect for the future. Your personal data will be shared within our company only with individuals involved in handling your application.

To manage our application process, we also use the applicant management system Personio, operated by Personio SE & Co. KG, Seidlstraße 3, 80335 Munich, Germany. Personal data that you provide to us as part of your application (e.g., contact details, application documents, correspondence) is processed and stored on Personio’s servers on our behalf. Processing is based on Section 26 BDSG-new and Art. 6(1)(b) GDPR (initiation of an employment relationship). Art. 6(1)(f) GDPR serves as a supplementary legal basis for processing operations that ensure an efficient and secure application process but are not directly related to the decision on establishing the employment relationship (e.g., system and security logs).

Personio acts as a processor pursuant to Art. 28 GDPR and is contractually obliged to process the data exclusively in accordance with our instructions and to implement appropriate technical and organizational measures (TOMs) to protect the data. Data transfers to third countries only occur where the requirements of Arts. 44 et seq. GDPR are met, in particular through EU Standard Contractual Clauses or equivalent safeguards.

If the application is successful, the data you have submitted will be stored in our data processing systems for the purpose of carrying out the employment relationship on the basis of Section 26 BDSG-new and Art. 6(1)(b) GDPR.

Retention Period of Data
If we are unable to make you a job offer, if you decline a job offer, or if you withdraw your application, we reserve the right to retain the data you have submitted on the basis of our legitimate interests (Art. 6(1)(f) GDPR) for up to six (6) months after the conclusion of the application process (rejection or withdrawal of the application). The data will then be deleted, and any physical application documents will be destroyed. Retention serves in particular as evidence in the event of a legal dispute. If it is apparent that the data will be required after the expiry of the six-month period (e.g., due to an impending or ongoing legal dispute), deletion will only take place once the purpose for further retention no longer applies.

Where you have given your consent, we may include your documents in an applicant pool and store them beyond the aforementioned period (Art. 6(1)(a) GDPR). Longer retention may also occur where statutory retention obligations prevent deletion.
